How to Use Payment Audits in Prahsys Merchant Dashboard

Learn how to view automatic activity logs and add internal notes to payments in Prahsys — useful for tracking refund reasons, patient context, and team communication.

Scroll down past the billing information and you'll find Payment Audits. This is an internal notes section for your team. Any action taken on this payment — customer updates, refunds, status changes — is automatically logged here with a timestamp and the team member who made the change. You can also add your own notes manually. I'll type "this is a test" in the text field and click Add Note. This is great for keeping internal context on a payment — why a refund was issued, any patient communication notes, anything your team needs to know about this specific transaction.


Quick Steps

  1. Open the Payment Details page for the payment

  2. Scroll down past the billing information to the Payment Audits section

  3. To add a note: type in the text field and click Add Note


Understanding Payment Audits

Automatic activity log

Every action taken on a payment is recorded automatically, including:

  • Customer linked or updated

  • Refunds processed

  • Status changes

Each entry shows what happened, who did it, and when — giving you a full audit trail without any manual effort.

Manual notes

Any team member can add a free-text note to a payment at any time. Common uses:

  • Documenting why a refund was issued

  • Recording patient communication related to the payment

  • Adding context for other team members

Important Note: Payment Audit notes are internal only — they are never visible to customers.
