How to Manage a Membership in Prahsys Merchant Dashboard

Video tutorial: read a membership's page, edit its price, details, or card, handle a past-due payment, and cancel a membership, with quick steps and a full transcript.

Welcome to Prahsys Tutorials. In this tutorial, you'll learn how to manage a membership: read its page, edit it, handle a past-due payment, and cancel it.

To open a membership, click Memberships in the sidebar, then click the membership in the list. The membership page shows its status, then the pay schedule, with the amount, how often it bills, and the next payment date. Below are the payment method and the member. Click Membership Plan Details to see what the plan includes. At the top, View Invoice opens the membership's invoice once it's been billed, and Send Invoice emails or texts it to the member.

To change a membership, click Edit. You can update the amount, the billing frequency, Autopay, notifications, the description, and the payment method. Here, we'll give this member a special rate, and note it in the description. Click Save Membership.

If a payment fails, the membership shows Past Due, and the Overview counts it too. The pay schedule shows when the payment will be retried. To bring it current, click Edit and choose a different payment method, such as a new card from the member, then click Save Membership.

To stop a membership, click Cancel, then confirm with Cancel. All future billing stops, and the pay schedule shows Inactive. Payments already collected aren't refunded. Quick Steps

Read the membership page

Click Memberships in the sidebar, then click the membership. You can also open one from the lists on the Memberships Overview.

  • Status — Active, Past Due, Cancelled, or Not Started, next to the membership number.

  • Pay Schedule — Autopay, the amount, how often it bills, and the Next payment date, plus the start date, the next reminder, and (after a failed payment) the next retry.

  • Payment Method and Customer — The card or bank account on file, and the member's details.

  • Membership Plan Details — Everything the member's plan includes. Learn more →

  • View Invoice and Send Invoice — Open the membership's invoice once it's been billed, or email or text it to the member.

Edit a membership

  1. Click Edit.

  2. Change the Amount, the Frequency, Autopay, Email Notifications or SMS Notifications, the Description, or the payment method (choose another saved card, or click Add a payment method).

  3. Click Save Membership, or Cancel to discard your changes.

The plan's name and details belong to the plan, not the membership: change those on Membership Plans. Learn more →

Handle a past-due payment

  1. A membership with a failed or missed payment shows Past Due, and the Past Due card on the Memberships Overview counts it.

  2. Its pay schedule shows the Next Retry date.

  3. To bring it current, click Edit, choose a different payment method (or add the member's new card), and click Save Membership.

Cancel a membership

  1. Click Cancel at the top of the membership page.

  2. In Cancel this membership?, click Cancel to confirm, or Keep active to go back.

  3. All future billing stops, and the pay schedule shows Inactive. Payments already collected aren't refunded.

Quick Tip: To give a member a special rate, edit their membership rather than the plan, so everyone else on the plan keeps their price.
