How to Process a New Payment in Prahsys Merchant Dashboard

Step-by-step guide to creating a payment in Prahsys — covering all four payment methods: terminal, manual card entry, cash, and check.

Now let's process a payment. I'll click New Payment in the top left corner. This opens the new payment form. You have two required fields to get started: Amount and Description. On the right side, you'll see the Payment Summary panel. It shows the merchant name, the date, and updates live as you fill in the form. I'm going to enter $1 into the amount, and Test as the description. The Payment Summary on the right immediately updates to confirm the total and the payment details. You'll also notice an optional Customer Email field. This links the payment to a specific customer and pre-fills the receipt email if you send one. You can add it here up front, or you can always add it later from the Payment Details page.

Below that you have the Payment Method selector. There are four tabs: Terminal, Card, Cash, and Check. Terminal is the default. When you select it, the dashboard automatically pulls up a list of every terminal connected to this merchant account. The next tab is Card. This is for manual card entry — keying in card details directly in the dashboard without a physical terminal. You'll see the card details section with the following fields, all required: name on card, card number, expiry date, CVV, and billing zip code. Once all the fields are filled in, the Pay button activates and you can process the payment.

The final two tabs are Cash and Check. These are for logging cash and check payments within the Prahsys Dashboard. This is an optional feature — it can be turned on or off in your settings. When it's enabled, your team can record cash and check payments right here so your dashboard analytics includes every payment type, not just card transactions. It keeps everything in one place. Let me go ahead and process this $1 payment using Phil's Terminal. I'll select it and click Pay $1. The screen shifts to a waiting state — waiting for payment on terminal. The terminal itself is now prompting the customer to tap, insert, or swipe. No additional steps from the dashboard side. Once the payment goes through, you'll see a Success confirmation screen. From here you have three options: Email Receipt, New Payment, or Payment Details.


Quick Steps

  1. Click + New Payment in the top left corner

  2. Enter the Amount and Description — both required

  3. Optionally enter a Customer Email to link the payment to a customer and pre-fill receipts

  4. Select a Payment Method: Terminal, Card, Cash, or Check

  5. Terminal: select a terminal and click Pay — the terminal prompts the customer to tap, insert, or swipe

  6. Card: enter name on card, card number, expiry date, CVV, and billing zip, then click Pay

  7. Cash or Check: confirm the details and click to log the payment

  8. On the Success screen, choose Email Receipt, New Payment, or Payment Details


Payment Methods

  • Terminal — Sends the charge to a connected physical terminal. The customer taps, inserts, or swipes. No additional steps from the dashboard.

  • Card — Manual card entry directly in the dashboard, without a terminal. Requires: name on card, card number, expiry date, CVV, and billing zip.

  • Cash — Logs a cash payment for dashboard analytics. Optional — can be enabled or disabled in Settings.

  • Check — Logs a check payment for dashboard analytics. Optional — can be enabled or disabled in Settings.

After Payment Success

  • Email Receipt — Sends a receipt to the customer email on file, or prompts you to enter one

  • New Payment — Immediately starts a new transaction

  • Payment Details — Opens the full payment record for this transaction
