Welcome to Prahsys Tutorials. In this tutorial, you'll learn how to read the Payments Overview: the summary cards, the lists below them, and how to choose which payment methods appear. The Payments Overview is a quick view of your practice's payments. It covers the time period shown in the date switcher.
The summary cards run across the top. Total Revenue is what you collected in that period, minus refunds. Below it is the number of transactions. Card, Cash, Check, and ACH show how much you collected by each payment method. Card includes both terminal and manual card entry, and counts each payment at its full amount, even if it was later refunded. Refunds shows the total you refunded. Declined shows how many payment attempts were declined. It's a count, not a dollar amount.
Below the cards, each one has its own list, starting with Card Payments. Each row shows the amount, description, status, source, and date. Point to an amount to see what was requested, captured, and refunded. Scroll down for Cash, Check, and ACH Payments, then Refund Payments and Declined Payments.
Cash, Check, and ACH only appear when your practice takes those payments. To choose, click Settings. Under Payment and Receipts, switch Cash Payments, Check Payments, or ACH Payments on or off. When one is off, its card and its list are hidden from the Payments Overview. That's how to read the Payments Overview in Prahsys. Quick Steps
Read the summary cards
Click Dashboard in the sidebar. If your practice also has memberships, click the Payments tab. The cards across the top show the period in the date switcher, This Week by default. Learn more →
Total Revenue — What you collected in the period, minus refunds, with the number of transactions below it.
Card — Card payments from terminals and manual card entry. Each payment counts at its full amount, even if it was later refunded.
Cash / Check / ACH — Payments received by each method.
Refunds — The total you refunded, and how many refunds.
Declined — How many payment attempts were declined. It’s a count, not a dollar amount.
Browse the payment lists
Card Payments — Amount, Description, Status, Source, and Updated At for each card payment.
Cash Payments, Check Payments, and ACH Payments — Amount, Description, and Created At.
Refund Payments — Refunded and partially refunded payments, with the original and refunded amounts.
Declined Payments — Declined payment attempts in the period.
In Card Payments, point to an amount to see its Requested, Captured, and Refunded Amount.
Each list shows 50 payments at a time. Use the arrows at the bottom to page through, or choose how many to show next to Showing.
Choose which methods appear
Click Settings in the sidebar.
Under Payment & Receipts, find Payment Methods.
Switch Cash Payments, Check Payments, or ACH Payments on or off.
When one is off, its card and its list are hidden from the Payments Overview.
If all three are off, Total Revenue is hidden too. Card, Refunds, and Declined always show.
Reports from Generate Report leave out the methods that are off. Learn more →
