Welcome to Prahsys Tutorials. In this tutorial, you'll learn how to capture a payment in three steps: start a new payment, choose a payment method, and complete the payment.
First, let's start a new payment. In the sidebar, click New Payment. Type the amount, then a description. What goes in the description is up to your office, such as a chart number, the patient's name, or the procedure. Prahsys sets up the payment, and your payment methods appear below.
Next, choose how your patient will pay. If your practice has a card terminal, Terminal is selected for you. Choose your terminal from the list, and the Pay button lights up. Clicking Pay sends the amount to the terminal, which asks your patient to tap, insert, or swipe their card. To type in card details instead, click Card. Enter the name on the card, the card number, the expiry date, the security code, and the billing ZIP code. To save the card for future payments, first add the patient under Customer Email. Then check Save payment method for future use. Cash and Check are for your records only. They log a payment you've already collected in person. If your practice doesn't log cash or check payments, you can turn them off. Click Settings. Under Payment and Receipts, switch off Cash Payments, Check Payments, or both. The last method is ACH, which saves your patient's bank account. ACH stays greyed out until you add a customer. Click Customer Email, then select your patient from the list, or search by name or email. Now ACH is available. Enter the account holder's name, the account number, the routing number, and the account type. Then click Save Bank Account. The account is saved to your patient's profile, ready to charge for this payment or future ones.
Finally, let's complete the payment. Here, we'll use the terminal. Click Pay, then have your patient tap, insert, or swipe their card. When the payment goes through, you'll see Payment Accepted. This screen is the same for every payment method. To email a receipt, enter your patient's email and click Search. If they aren't a customer yet, you can add them here. Then click Send Receipt. New Payment clears the screen, so you can start the next payment right away. Payment Details opens the full record of this payment. Here you'll find everything about the payment, including how it was paid and when. To print a copy for your patient, click Print Receipt. The receipt shows your practice's name in the top corner, along with the payment and customer details. That's how to capture a payment in Prahsys. Quick Steps
Start a new payment
Click + New Payment in the sidebar.
Enter the Amount and a Description. What goes in the description is up to your office, such as a chart number, the patient's name, or the procedure.
Wait a moment while Prahsys sets up the payment. The payment methods appear below.
Choose a payment method
Terminal (selected for you if your practice has one) — Choose your terminal from the list, then click Pay. The terminal asks your patient to tap, insert, or swipe their card.
Card — Click Card and enter the Name on Card, Card Number, Expiry Date, security code (CSC), and billing ZIP, then click Pay. To save the card for future payments, add the patient under Customer Email first, then check Save payment method for future use.
Cash or Check — For your records only: logs a payment you've already collected in person. Click Pay to log it. To turn either option off, go to Settings › Payment & Receipts and switch off Cash Payments or Check Payments.
ACH — Greyed out until a customer is added. Add the patient under Customer Email, click ACH, and enter the Account Holder Name, Account Number, Routing Number, and Account Type. Click Save Bank Account: the account is saved to the patient's profile under Saved Payment Methods, ready to charge for this payment or future ones.
Complete the payment
Click Pay. With a terminal, the screen shows Waiting for payment until your patient taps, inserts, or swipes.
When the payment goes through, you'll see Payment Accepted. This screen is the same for every payment method.
To email a receipt, enter your patient's email and click Search (you can add them as a customer here), then click Send Receipt.
Click New Payment to start the next payment right away.
Click Payment Details to open the full record of the payment. Click Print Receipt for a printable receipt.
