Welcome to Prahsys Tutorials. In this tutorial, you'll learn how to use Payment Audits: find a payment's history, read what was logged, and add a note for your team. Every payment keeps its own history, so anyone on your team can catch up at a glance. Click Payments in the sidebar. Then click the payment to open it. At the bottom of the page is Payment Audits, a timeline of its activity, newest first.
Each entry shows who did it, what happened, and how long ago. At the top is a note from someone on the team. Below it, a line marks where an earlier day begins, and then come two refunds. Hover over the time to see the exact date and time. Entries are added for you. Adding or changing the customer logs two: one on the payment, and one on the customer. Each refund is logged too.
You can also add notes of your own, such as why money was given back, or what you discussed with the patient. They stay inside the dashboard, so patients never see them. Click in the box and type. The toolbar adds bold, italics, lists and links. Check your text before you click Add Note, because once it's added, it can't be edited or deleted. A message confirms it's saved, and it appears at the top of the list, with your name and when it was added.
That's how to use Payment Audits in Prahsys. If you have questions, click the chat bubble in the bottom corner, then Send us a message. Our support team is happy to help. Thanks for watching Prahsys Tutorials.
Quick Steps
Find a payment's history
Click Payments in the sidebar, then click the payment to open its details page. Learn more →
Scroll to the bottom of the page to Payment Audits.
Every payment has Payment Audits, whatever the payment method. The newest entries are at the top, and the 50 most recent are shown.
Read what was logged
Each entry shows who did it, a badge for what happened, and how long ago. Hover over the time to see the exact date and time.
A line with a date marks where an earlier day begins.
Click an entry to see its full details.
Entries are added for you:
Payment Customer Updated and Customer Updated — A customer was added to the payment or changed. One change logs both. Learn more →
Payment Refunded — One for each refund, with who issued it. Learn more →
High Ticket Payment — A payment was over your practice's highest ticket price. It records the reason entered on New Payment. Learn more →
Note — A note someone on your team added.
Prahsys Support may also add entries, for example when a transaction is corrected. Sending or printing a receipt isn't logged.
Tip: Reload the page to see a refund or customer change you just made. New notes appear right away.
Add a note
Click in the box at the bottom of Payment Audits and type. The toolbar adds bold, italics, strikethrough, bulleted and numbered lists, and links.
Check your text. A note can't be edited or deleted once it's added.
Click Add Note. A message confirms it's saved, and the note appears at the top of the list with your name and when it was added.
Use notes for anything your team should know about the payment, such as why money was given back or what you discussed with the patient. Notes stay inside the dashboard: patients never see them, and they aren't on the receipts you send or print.
